1. Prayer
2. Saturday Youth Short term mission trip
A. 16 youth (8 boys, 8 girls), 6 adults( 3 brothers, 3 sisters) signed up. Total 22.
B. Confirm departing & arriving dates確定出發日及回程日: 7/18 Sat. – 7/25
C. Need to Make an appointment with Steve Seaberry 4/14 Tuesday 1pm
i. Airfare deposit prepaid by BGCT
ii. Visit Waterbury by Pastor Wang or ask Dr. Tyson video tape the mission place
D. $6000 sponsorship from BGCT:
Flora talked to Steve Seaberry from BGCT mission dept. on 3/30/09. Steve said that BGCT can mail a check $6000 to CCC and let CCC pay for the airfare. Flora told Steve that originally $6000 was based on 10 people attending the mission trip. In Steve’s e-mail to Pastor Don on 11/26/08, Steve said that he can take a second look of the budget later to possibly add more money if necessary. (see Attachment 1) Flora told Steve that we have 22 people signed up for the mission trip. Once we receive the quote from Beverley on the airfare & vans rental, Flora will e-mail the updated budget to Steve for him to consider to increase the sponsorship.
E. Airfare & 2 vans rental:
Flora contacted Beverley at Main Street Travel referred by Steve Seaberry of BGCT. She quoted $420.62/person (AA)
F. VBS materials:
Jason will prepare the VBS materials and train mission team starting this Sunday 4/5 on Sunday school time. All youth will attend the training. Youth who are not going to this mission trip can also learn how to teach VBS through the training.
i. Need to update the ministry expense budget based on the VBS materials Jason selects.
ii. Flora will put on the bulletin: craft materials for mission trip use.
G. Lodging:
Mission team will stay at Southbury Baptist Church (Secretary: Loraine 203-264-2407)
Questions to ask:
i. Need Loraine’s e-mail address
ii. Contact person when mission team arrives Southbury BC. (get the keys)
iii. Kitchen facility:
iv. How many Shower?
v. How many bathroom?
H. Questions for Dr. Tyson:
i. Lunch: Does mission team bring lunch to Waterbury & eat after the children leave or ???
ii. Any serving opportunity in the afternoon & evening?
iii. How long is the snack time for the children during the camp? 10:30am-???
iv. Crafts: Has other churches already given their choices for the drafts? If so, what are their choices?
I. Meal arrangement:
i. Assign a meal coordinator from the mission team. Coordinator will design the meals & budget.
ii. 6 Breakfasts :7/19-7/24
iii. 7 Lunches: Sandwiches, chips, water bottled
iv. 7 dinners
J. Mission trip budget
i. Flora suggests to invite Sandy to update the budget and do the bookkeeping for the trip.
K. 4/5 Briefing to mission team
L. Go through the Waterbury handbook
3. Labor Day Joint Retreat (see attachment 2)
4. Reminder:
l 5/11-19 Pastor Paul will go to Kyrgyzstan & Norway for short term mission.
l 5/17 Sunday Rev. Stephen Hsieh謝建邦牧師will preach at Chinese worship.
l Cabin Rent $2500 and cleaning deposit of $400 (Total $2900) will be mailed to Sharon Baptist Church on 7/30/09..
l Cabin Rent: $3498.00 will be paid on 8/20/09 to First Southern Baptist Church.

Don,
I got your voice message yesterday while on the road to visit family out of state for Thanksgiving. Thanks for your patience in waiting until after the BGCT annual meeting to get back to the trip planning. At this time, I can commit to 100% of the airfare for 10 people up to a maximum of $6,000 (based on $600 per person). This will allow you some direction and flexibility as you talk and plan with Maner. I know you’ll be interested in keeping the costs as low as possible for each of the team members. I suggest that you begin to work out the other details with Maner as soon as possible. Keep me informed as plans begin to come together, especially if the costs seem to be rising. I can always take a 2nd look at my budget later to possibly add more $$ if necessary.
I’ll be back in my office next week. Let me know if you have any other questions.

9/5-9/7/09 Labor Day joint retreat update
A. Lodging
a) Cabin #617 First Southern Baptist Church:
i. Leasing agreement and $250 damage deposit will be mailed 4/2/09.
ii. Rent: $3498.00 will be paid on 8/20/09.
b) Cabin #705 Sharon Baptist Church
i. Leasing agreement will be mailed to Sharon Baptist Church 4/2/09.
ii. Rent $2500 and cleaning deposit of $400 (Total $2900) will be mailed to Sharon Baptist Church on 7/30/09..
c) Falls Creek
i. Flora e-mailed to Mark on 3/26. Waiting for Mark to reply.
B. Sponsorship & contribution
i. Flora e-mailed on 3/30/09 to Patty Lane @ BGCT for the $3500 sponsorship.
ii. Flora will e-mail to 8 attending churches for $700 contribution per church. The contribution is due 7/15/09.
C. Challenge & needs: Due to the economy crises & financial difficulties, BGCT may reduce their sponsorship for this year’s joint retreat per them. We don’t know the percentage BGCT will reduce, but we got a draft idea of 20% ($700) reduction. We suggest to ask the attending churches to contribute $100 more per church. We will get this approved in the next meeting. Retreat co-workers suggestions are welcomed.
